When does ASQA ask for an RTO’s data
- When you first register with ASQA. ASQA will need to collect data about your RTO, such as your contact information, scope of registration, and trainers.
- When you renew your registration with ASQA. ASQA will need to collect updated data about your RTO, as well as data on your performance over the past registration period.
- When you change your scope of registration. If you add or remove courses from your scope of registration, you will need to provide ASQA with updated data.
- When you are undergoing a performance assessment by ASQA. ASQA may request additional data from you as part of a performance assessment.
- When ASQA is investigating a complaint about your RTO. If someone complains to ASQA about your RTO, ASQA may request data from you to investigate the complaint.
- When ASQA is conducting research on the VET sector. ASQA may request data from RTOs to support its research on the VET sector.

Clause 7.5 outlines the data provision requirements for RTOs. This data is mandatorily required by ASQA at different times during the year and course of your RTO’s registration.
You must provide two types of data:
- Australian Vocational Education and Training Management Information Statistical Standard (AVETMISS) data
- Quality indicator data

How can you be compliant
– Report your VET activity to AVETMISS. You can use data logging tools and support available on NCVER and the ASQA website.
– Submit a ‘nil activity’ report if you as an RTO did not issue any VET completion certification and there was no VET activity.
– If you deliver training that is legally not required to be AVETMISS compliant then report completion data and aggregate competency instead.
– If your RTO is funded by the state or tertiary governments then you will report through state training authority as required by the state.
For applicants of the initial RTO registration
For initial registration applicants, you will have to prove with evidence that you have an installed student management system which is capable of AVETMISS data lodging. ASQA will also need evidence of how you will report learner engagements and all quality indicator surveys.

Clause 8.1
Registered training organisations (RTOs) must cooperate with the VET Regulator in accordance with Clause 8.1 of the Standards for Registered Training Organisations (RTOs) 2015. This means that RTOs must:
- provide accurate and truthful information to ASQA when requested
- assist ASQA during performance assessments and audits
- provide quality/performance indicator data to ASQA
- notify ASQA of any substantial changes to their operations or events that could significantly affect their ability to comply with the RTO Standards within 90 calendar days of the change occurring
- notify ASQA of any significant changes to their ownership within 90 calendar days of the change occurring
- retain, archive, retrieve, and transfer records in accordance with ASQA’s requirements
Clause 8.2
As a registered training organisation (RTO), you must ensure that any third parties delivering services on your behalf are required under written agreement to cooperate with the VET Regulator. This means that they must:
- Ensure that their third-party providers keep accurate and up-to-date records of all aspects of their delivery of services.
- Provide ASQA with access to these records upon request.
- Assist ASQA during performance assessments and audits of their third-party providers.
RTOs can comply with ASQA’s requirements for third-party providers by:
- Entering into a written agreement with their third-party providers that includes a requirement to cooperate with ASQA.
- Providing their third-party providers with information on ASQA’s requirements and how to comply with them.
- Monitoring their third-party providers’ compliance with ASQA’s requirements.
